Optamize (“we”, “us”, “our”) is an Australian performance marketing agency. We take the privacy of the people who visit our website and the clients who trust us with their business data seriously.

This policy explains what personal information we collect, why we collect it, who we share it with, and the rights you have over it under the Privacy Act 1988 (Cth). By using our website or our services, you agree to this policy. If you don’t agree, please stop using them and get in touch so we can sort out any concerns.

Who we are and what this policy covers

Optamize plans, builds and scales advertising for ecommerce and service brands, and provides automated performance reporting to our clients. This policy covers two related but distinct things:

  • Information about you — if you visit optamize.com.au, submit a form, subscribe to our newsletter, or chat with our AI assistant.
  • Information we handle for our clients — the advertising and sales data we access to produce reporting and manage campaigns on their behalf.

Where we handle data on behalf of a client, we do so under our service agreement with that client, and this policy describes the safeguards we apply.

The information we collect

Information you give us

We only collect what we actually need to respond to you and do the work:

  • Enquiry form — your name, email address, company name, and your message.
  • Discovery call and intake form — your name, email address, website domain, business name, phone number, approximate monthly advertising spend, any notes you add, and which page you came from.
  • Newsletter — your email address, and nothing else.
  • AI chat assistant — the messages you type, plus your name, email, phone or business details if you choose to share them so we can follow up.

We don’t ask for and don’t want sensitive information — health, racial or ethnic origin, political or religious beliefs, sexual orientation, criminal record, or government identifiers. Please don’t send it to us.

Information collected automatically

Like almost every website, ours records some technical detail when you visit. This is used to keep the site working and understand how it performs, not to build a profile of you personally:

  • IP address
  • Browser type and version
  • Device type and operating system
  • Pages you visited and how long you spent on them
  • The site or ad that referred you

We also use your IP address briefly to rate-limit our chat assistant and block abuse. That check happens in memory as your request is handled and the address isn’t written to our database.

Client business data

To deliver campaign management and reporting, we access our clients’ advertising and sales platforms — including Meta and Google advertising accounts, Shopify stores, and spreadsheets that clients share with us. This data is overwhelmingly commercial rather than personal (spend, revenue, impressions, conversion rates), but it can include the names and work contact details of client staff. We access it only to perform the services we’ve been engaged to provide.

How we use your information

We use the information described above to:

  • Respond to your enquiry and answer your questions
  • Run discovery calls and prepare proposals and quotes
  • Operate our AI chat assistant and pass genuine enquiries to our team
  • Deliver our services, including campaign management and performance reporting
  • Send our newsletter and occasional updates, if you’ve subscribed
  • Measure and improve our website and our advertising
  • Meet our legal, tax and record-keeping obligations

We do not sell, rent or trade your personal information, and we never will. We may use aggregated, de-identified data — figures that can’t be traced back to any individual or client — in case studies and marketing material.

Every marketing email we send includes a one-click unsubscribe link. You can opt out at any time and it takes effect immediately.

The AI chat assistant

Our website has an AI chat assistant that can answer questions about what we do and pass your details to our team. Because how it handles data is less obvious than a normal contact form, here’s exactly what happens:

  • Your messages are sent to Anthropic, our AI provider, to generate a reply. Anthropic processes this on servers in the United States. Under its commercial API terms, data submitted through the API is not used to train its models.
  • Conversations are stored in our database so your chat is still there if you close the tab and come back later.
  • If you share contact details and ask us to get in touch, the assistant passes them into the same enquiry pipeline as our contact form, so a real person can follow up.

An AI assistant is a text box on a public website. Please don’t type anything into it you wouldn’t email us — no passwords, card numbers, or confidential details. If you’d rather not use it at all, every question it answers can also be answered by emailing hello@optamize.com.au.

Cookies, local storage and tracking

We’ve kept tracking on our site deliberately light. To be specific about what is and isn’t running:

  • We set no first-party advertising or analytics cookies of our own. There’s no Google Analytics on this site.
  • Local storage — we store a single randomly generated ID in your browser’s local storage (optamize_chat_session) so the chat assistant can reconnect you to your own conversation. It isn’t a tracking identifier and it isn’t shared with anyone.
  • Meta Pixel — we run Meta’s advertising pixel, which sets its own cookies to measure our ad performance and build advertising audiences. It records page views and when someone books a call.
  • Calendly — our booking calendar is embedded from Calendly, which sets its own cookies when you interact with it.

You can block or delete cookies in your browser settings, and you can limit how Meta uses your data through your Facebook or Instagram ad preferences. Blocking cookies is your call and won’t stop you reading the site — but the booking calendar and chat assistant may not work properly.

Who we share information with

We share information only with the service providers that run our business, and only as much as each one needs:

  • Vercel — hosts our website and processes requests to it
  • Supabase — the database that stores form submissions, newsletter subscriptions and chat conversations
  • Anthropic — powers the AI chat assistant
  • n8n — the automation platform that routes new enquiries to our team and builds client reports
  • Calendly — schedules discovery calls
  • Meta — advertising measurement and audiences
  • Google — email, documents and spreadsheets used to run our business and client reporting

We may also disclose information:

  • To our professional advisers — accountants and lawyers — where they need it to advise us
  • Where we’re required to by law, a court order or a regulator, or where it’s necessary to protect our rights, our clients or someone’s safety
  • To a buyer, if our business is ever sold or restructured

We require our providers to protect the information they hold for us and to use it only for the purpose we engaged them for.

Sending information overseas

Some of the providers listed above store and process data outside Australia — primarily in the United States. That includes Vercel, Supabase, Anthropic, Calendly, Meta and Google.

This means your information may be handled in a country with different privacy laws to Australia’s. Before using a provider we take reasonable steps to confirm it offers protections comparable to the Australian Privacy Principles, and we rely on the contractual commitments in each provider’s data processing terms. By providing us with your information, you consent to this overseas disclosure.

How we protect your information

We take practical, unglamorous steps to keep information safe:

  • All traffic to and from our website is encrypted in transit (HTTPS)
  • Database credentials and API keys are stored as protected environment variables, never in our code
  • Administrative database keys are restricted to server-side use and are never exposed to your browser
  • Access to client accounts and reporting data is limited to the people who need it
  • We use reputable providers who maintain their own security programs

We should be straight with you: no website or database is completely secure, and anyone who tells you otherwise is selling something. If you believe your information has been compromised, or you’ve spotted a vulnerability in our site, please tell us at hello@optamize.com.au and we’ll investigate promptly. Where a data breach is likely to cause serious harm, we’ll notify affected people and the Office of the Australian Information Commissioner as the Privacy Act requires.

How long we keep your information

We keep information only as long as we have a reason to, then delete or de-identify it:

  • Enquiries and intake forms — while we’re in contact about working together, and for up to 24 months after we last hear from you, in case you come back to us
  • Newsletter subscriptions — until you unsubscribe. We then keep a record of your email address on a suppression list so we don’t accidentally email you again
  • Chat conversations — up to 12 months, so we can improve the assistant and pick up any enquiry we missed
  • Client reporting data — for the term of the engagement and up to 12 months afterwards, so historical reporting stays available
  • Financial and tax records — 7 years, as Australian law requires

You can ask us to delete your information earlier than this, and we will unless we’re legally required to keep it.

Your rights under the Privacy Act

The Privacy Act 1988 (Cth) and the Australian Privacy Principles give you real rights over your information. You can:

  • Access it — ask for a copy of the personal information we hold about you
  • Correct it — have anything inaccurate, out of date or incomplete fixed
  • Opt out of marketing — unsubscribe from our newsletter and ask us not to contact you
  • Ask us to delete it — where we have no legal obligation to keep it
  • Complain — if you think we’ve mishandled your information
  • Deal with us anonymously — where it’s lawful and practical to do so

To exercise any of these, email hello@optamize.com.au. We may need to verify who you are before releasing information. We’ll respond within 30 days, and there’s no charge for a reasonable request.

If you’re not happy with how we handle your complaint, you can take it to the Office of the Australian Information Commissioner: oaic.gov.au or 1300 363 992.

Children’s privacy and third-party links

Our services are built for businesses and aren’t directed at children. We don’t knowingly collect personal information from anyone under 18. If you believe a child has given us their information, contact us and we’ll delete it.

Our site links to other websites, and our reporting connects to third-party platforms. Once you leave our site, this policy no longer applies — those organisations have their own privacy policies, and we’re not responsible for their practices. It’s worth reading them.

Changes to this policy, and how to contact us

We may update this policy as our practices or the law change. When we do, we’ll post the revised version on this page and update the effective date at the top. If a change materially affects how we handle your personal information, we’ll take reasonable steps to tell you directly. Continuing to use our website or services after a change means you accept the updated policy.
